FTS Outdoors operates this application for youth organizations and unit leaders in the United States. This Privacy Policy explains what information we collect, how we use it, when we share it, and what choices are available to users and participating organizations.
In Plain Language
We collect the information needed to run unit management features such as accounts, roster management, attendance, messaging, inspections, calendar records, library and inventory workflows, billing, security, and optional notifications. We do not sell personal information or use it for third-party advertising or cross-context behavioral marketing.
Who Uses This Application
This application is designed for use by adult leaders and authorized youth members (such as Senior Patrol Leaders) within participating youth organizations. Access is managed and controlled by authorized adult leadership.
Organizational administrators control user access, permissions, and visibility of data within their organization.
Information We Collect
We collect information needed to provide the platform, secure accounts, support unit operations, and fulfill service obligations.
Account Information
- Email address
- Display name, full name, or profile name
- Authentication identifiers and account status information
- Phone number if provided within roster, profile, or organization records
Organization, Role, and Roster Information
- Unit or organization number
- City and state (if entered)
- Role within the organization (for example: admin, leader, youth leader, or member)
- Patrol, rank, leadership position, and activity status
- Parent or guardian email addresses if provided by the organization
- Birth date, phone number, and emergency contact information if entered by the organization
Activity and Program Data
- Inspection records and scores
- Attendance records, participation history, and analytics derived from those records
- Calendar event information and permission-slip related entries submitted through the platform
- Inventory and library records, including checkout or borrower information entered by unit users
- Dates of activities or inspections
- Identification of the authorized user who created or modified records
Files, Attachments, and Media
- Files, attachments, and images uploaded by users, such as attendance attachments or shared resources
- Associated metadata needed to store, sort, display, and delete those files
Billing and Subscription Information
- Subscription plan details, billing status, and Stripe customer or checkout identifiers
- Transaction and subscription metadata needed to activate or manage paid access
Technical and Device Information
- IP address, browser, device, or user-agent information made available through requests to the platform
- Log, security, and abuse-prevention data
- Web push subscription data, device labels, and notification-related identifiers if notifications are enabled
- Cookies, local storage, and session storage values used for authentication, session continuity, feature state, and demo mode
We do not use personal information for third-party advertising or targeted marketing.
Youth Privacy
Youth users may access this application only as part of an authorized organization and under the supervision of adult leadership. Youth accounts are limited in scope and typically include only a display name and role. Information entered by youth users relates solely to program activities and organizational operations.
Users under 18 cannot create accounts directly. Youth accounts must be created or invited by an authorized adult leader.
The platform does not provide private one-on-one communication between an adult and a youth user. Organizations and leaders are responsible for following Scouting America Safeguarding Youth Training and applicable youth protection policies when using this platform with users under 18.
Children's Privacy and COPPA Compliance
We do not knowingly collect personal information from children under the age of 13 without authorization and supervision from an adult leader or parent or guardian. Organizations are responsible for obtaining any required parental or guardian consent for youth participation.
If we become aware that information has been collected from a child without appropriate authorization, we will take reasonable steps to remove that information.
How We Use Information
We use collected information only to:
- Authenticate users
- Associate users with their organization and role
- Operate roster, attendance, messaging, calendar, inspection, inventory, library, and reporting features
- Store and display uploaded files, images, and attachments submitted through the platform
- Send service-related emails, authentication messages, and account notices
- Support optional push notifications and notification delivery
- Process billing, subscriptions, and account entitlements
- Maintain system integrity, security, and functionality
- Investigate misuse, enforce policies, and comply with legal obligations
- Fulfill our contractual and operational obligations to participating organizations
We do not use personal information for third-party advertising, data brokerage, or cross-context behavioral marketing.
Cookies, Local Storage, and Similar Technologies
We use cookies and browser storage technologies such as local storage and session storage to support authentication, maintain session state, store user preferences or temporary workflow state, and operate demo or onboarding flows.
If you disable cookies or browser storage, some platform functions may not work correctly.
Data Storage, Processing, and Service Providers
We use service providers to operate parts of the platform, including authentication, data hosting, notification delivery, file storage, and subscription billing.
Examples of these providers may include Supabase for core platform infrastructure and Stripe for billing. Those providers process data on our behalf subject to their own legal and security obligations.
Data Sharing
We do not sell or rent personal information. Information may be shared only:
- With trusted service providers necessary to operate the platform
- With the applicable organization, unit leadership, and authorized administrators managing the account
- When required by law, legal process, or governmental request
- To protect the security, integrity, or safety of the platform and its users
- In connection with a merger, acquisition, financing, or asset transfer, subject to appropriate safeguards
Billing Information
Subscription billing and customer portal functionality are handled through Stripe. We do not store full payment card numbers in the application. We do store or receive billing-related identifiers, subscription status, plan information, and transaction metadata needed to manage paid access.
Data Retention
Data is retained only as long as organizational and user accounts remain active. Authorized administrators may remove users and revoke access at any time.
When a subscription is canceled or expires, organization data may be scheduled for deletion after a retention period (currently up to 30 days), subject to system processing timelines.
Limited copies of data may remain temporarily in encrypted backups, logs, or disaster-recovery systems after deletion. These copies are retained only for security, integrity, compliance, and legal purposes and are removed according to internal retention schedules.
We may retain information longer where required by law, audit obligations, fraud prevention, or enforcement of agreements.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including encryption in transit, authentication controls, access restrictions, and role-based permissions where supported by the platform.
No system can be guaranteed to be completely secure. Users and organization administrators are responsible for safeguarding credentials, assigning access appropriately, and promptly reporting suspected misuse.
Security Incidents
In the event of a data security incident, we will take reasonable steps to investigate, mitigate, and notify affected users and organizations as required by applicable law.
User Responsibility and Administrative Control
Organizational leaders and administrators are responsible for managing user access, permissions, and oversight. They are responsible for ensuring that only authorized individuals, including youth members under appropriate supervision, use the platform.
Your Choices and Rights
Users may update some profile information through the platform. Organizations and their administrators may also manage roster and access records under their control.
Subject to applicable law and verification of the request, users may have rights to request access, correction, deletion, or information about the personal information we maintain. Some requests may need to be routed through the participating organization that controls the account relationship.

We do not sell personal information or share it for third-party behavioral advertising as those terms are commonly used in U.S. state privacy laws.
U.S.-Only Service Scope
FTS Outdoors is intended for use by U.S.-based organizations and users. We do not currently market the service for use in the EEA, UK, or Canada.
Changes to This Policy
We may update this Privacy Policy as the platform evolves. Updates will be posted on this page with a revised date. Continued use of the platform constitutes acceptance of the updated policy.
